Dashboard - real-time KPIs
What each section of the Mosce ERP dashboard measures, how the period selector works, and what to do if a number does not match what you expected.
The main Mosce ERP dashboard shows a summary of your business status in near real time: sales, accounts receivable, accounts payable, operations and inventory - all on a single screen, adapted to your role's permissions. Use the period selector in the panel header to view the current month, last month, the quarter or the year. This article explains what each section measures and when it is normal for the numbers to take a while to show up.
Reading time: ~7 min
When to use this
- It is your first login of the day and you want a quick snapshot of the business.
- You want to change the analyzed period without opening the individual reports.
- A dashboard number looks wrong and you want to understand how it is calculated.
- You just issued several invoices and you wonder why the dashboard does not reflect them yet.
- You want to understand the difference between the dashboard numbers and the ones in the detailed reports.
Before you start
The dashboard does not show the same sections for every user. Each section is protected by a specific permission that the tenant administrator assigns from Settings → Roles. If a user does not have the corresponding permission, that section does not appear in their panel.
| Permission | Section it unlocks |
|---|---|
dashboard:sales | Sales |
dashboard:receivables | Accounts Receivable |
dashboard:payables | Accounts Payable |
dashboard:operations | Operations and Cash |
dashboard:inventory | Inventory |
The Owner and Administrator roles have access to all sections by default. The other roles (Manager, Salesperson, Cashier, Viewer) do not - the tenant administrator decides which ones to enable based on each person's responsibilities.
If you do not see any section, the panel shows an informational message. It is not a platform error - it means your role does not yet have any dashboard:* permission assigned. Talk to your account administrator.
For more details on role management, see Users, roles and permissions.
Period selector
In the panel header you will find a selector with four options:
| Option | Period it covers |
|---|---|
| This month (default) | From day 1 of the current calendar month to today |
| Last month | The full previous calendar month |
| This quarter | From the first day of the current calendar quarter to today |
| This year | From January 1 of the current year to today |
The panel remembers your selection while you navigate. The selection affects:
- All KPIs in each section - the totals and counts are recalculated for the chosen period.
- The percentage delta - it compares the selected period against the equivalent previous period (this month vs. the previous month, last month vs. the month before that, this quarter vs. the previous quarter, this year vs. the previous year).
- The chart granularity - daily in "This month" and "Last month", weekly in "This quarter", monthly in "This year".
Alerts and quick actions
At the top of the panel there is a strip of actionable alerts that appears only when there is something that needs your attention:
- Overdue invoices - links directly to the accounts receivable report filtered by overdue. Only visible if you have the
dashboard:receivablespermission. - Low stock - links to the inventory report filtered by products below minimum. Only visible if you have the
dashboard:inventorypermission. - Active fiscal contingency - appears only if there is an electronic invoicing contingency episode in progress, with a link to the contingency screen to manage it.
Below the alerts you will find quick action buttons to create an invoice, a client or a product. Each button only appears if your role has the corresponding creation permission (invoices:create, clients:create, products:create). If you do not see them, that is normal - your role does not have those permissions enabled.
The dashboard indicators
Sales section (dashboard:sales)
Total invoiced for the period Sum of the income from all sales invoices issued in the selected period. It uses an accrual basis - it includes paid, pending, partial, overdue and credited invoices. It excludes drafts and voided invoices.
It shows the delta as a percentage relative to the comparable previous period.
Gross profit for the period Difference between the period's income and the cost of goods sold (COGS) in the same range. Same set of invoices as the total invoiced indicator.
Limitation: if any of your products has no cost configured, its COGS is zero and the gross profit appears overestimated. Review the product catalog if this number looks wrong.
Top product of the period The product with the highest invoiced income in the period. It matches the first result of the top products by income ranking for the selected period.
Gross / Discounts / Net chart Multi-series chart with three lines: gross income, applied discounts and net income for each point of the period. The granularity adjusts automatically based on the selector option.
Accounts Receivable section (dashboard:receivables)
Receivable balance (AR) Sum of the pending balance of all open invoices (status: pending, partially paid or overdue) - regardless of the issue month. It is an indicator of the accumulated balance to date, not of the selected period.
Pending invoices Number of invoices in a pending payment status (not overdue) at the time of the query.
Overdue invoices Number of invoices whose due date has already passed and that still have a pending balance. A high number here requires collections attention.
Invoiced / Collected / Balance chart Multi-series chart that shows the evolution of the invoiced amount, what was actually collected and the pending balance for each point of the selected period.
Accounts Payable section (dashboard:payables)
Pending supplier invoices Number of supplier invoices that have not yet been paid, and their total accumulated amount.
Purchase orders pending receipt Number of purchase orders that have been issued to the supplier but whose merchandise has not yet been recorded as received in the system.
Invoiced / Paid chart Multi-series chart with the evolution of what was invoiced by suppliers vs. what was paid in the selected period.
Operations and Cash section (dashboard:operations)
Open cash sessions Number of cash sessions currently open across all points of sale in your account.
Pending point of sale (POS) orders Number of point of sale orders that are in process and have not yet been completed or voided.
Open quotes Number of quotes sent to clients that have not yet been converted to an invoice nor expired.
Cash inflows / outflows chart Multi-series chart with the cash inflow and outflow movements recorded in the selected period.
Inventory section (dashboard:inventory)
Products with low stock Number of products whose available quantity fell below the minimum stock threshold configured in the catalog.
Click the indicator to go to the inventory report filtered by products below minimum.
This section shows only KPIs - it does not include a chart.
Panel states
The dashboard handles four distinct states:
- Loading - while the panel fetches the data from the server, animated skeletons are shown instead of the values. This typically lasts less than a second.
- Error - if the load fails (for example, a network interruption), each section shows an error message with the option to retry without reloading the whole page.
- First load - if the tenant was just created and has no data recorded yet, the panel shows a welcome message with suggested steps to get started, instead of zeros across all KPIs.
- Personalized greeting - the panel header shows a greeting that varies with the time of day (good morning, good afternoon, good evening) next to your name.
Refresh frequency - why the numbers may take a while
The dashboard data is cached for approximately 2 minutes. A burst of activity (several invoices issued in a few seconds) will not be reflected immediately - the dashboard will show the previous values until the cache expires.
This is intentional: without caching, the platform would process the query on every page load of all users simultaneously, which would slow down the response during high-traffic hours.
The cache is segmented by tenant, period and permission set: two users with the same permissions and the same period share the cached response, but different permissions or different periods generate independent entries. That is why the first period change (or the first load for a role with permissions different from another already cached) may take up to 2 minutes to reflect the latest data.
If you need the freshest data:
- Wait 2 minutes and reload the page.
- Or open the corresponding report directly from Reports, which queries in real time without caching.
Common errors
| Symptom | Probable cause | Solution |
|---|---|---|
| The dashboard numbers do not match the equivalent report | The dashboard is cached; the report queries in real time | Wait 2 minutes and reload the dashboard |
| The gross profit looks wrong | Products without a configured cost artificially raise the margin | Go to Catalog → Products and configure the cost of products without a value |
| The AR indicator includes invoices I already paid | The payment may not have been recorded correctly | Check that the payment is applied to the invoice in Sales → Invoices |
| I do not see the low stock section | Your role does not have the dashboard:inventory permission | Talk to your account administrator to enable it in your role |
| I do not see any section in the dashboard | Your role does not have any dashboard:* permission assigned | Talk to your account administrator |
| The percentage delta looks wrong | The comparable period changes based on the selector option | Check that the selector is on the expected option and review which is the base comparison period |
Frequently asked questions
Is the dashboard customizable?
Yes, at the role level. Your account administrator decides which sections each role sees by enabling the corresponding dashboard:* permissions from Settings → Roles. What is not configurable is the order of the indicators within each section - that order is fixed.
Can I view the dashboard for a past period?
Yes. Use the period selector in the panel header to switch to "Last month", "This quarter" or "This year". "Last month" shows the full previous calendar month. For more granular analysis or arbitrary periods, use the reports available in the Reports section.
Do the dashboard numbers match the reports exactly?
The values should match the corresponding reports, except for the cache delay of up to 2 minutes. If the discrepancy persists beyond that time, contact support.
Why do I not see the Accounts Payable section (or any other section)?
Because the role assigned to your user does not have the dashboard:payables permission enabled (or the permission of the section you do not see). Your account administrator can activate it from Settings → Roles. See Users, roles and permissions to see how permission assignment works.
Is the dashboard available in the API?
Yes. The same KPIs are available for authenticated integrations, with the same caching behavior and the same permission segmentation logic described in this article.
