Task management
Create, assign, and track team tasks from the Kanban board or the list view. Available on paid plans.
Mosce ERP's Tasks module gives you a central space to create, assign, and monitor the team's work in the same place where you manage sales, purchases, and accounting. You can attach files, leave comments, and move cards between columns with drag-and-drop. Changes are reflected in real time for all team members.
Reading time: ~8 min
Plan note: the Tasks module is available on paid plans (Starter, Professional, and Enterprise). If you see it disabled in the sidebar, check your plan in Billing and subscription.
When to use this
- You want to create and assign tasks to team members without leaving Mosce ERP.
- You need to organize the work in visual columns (To Do / In Progress / Completed) and move them with drag-and-drop.
- You want to attach documents or images directly to a task.
- You want to leave comments or mention colleagues within a task.
- You need to filter tasks by assignee, priority, or due date.
Before you start
- Your role includes
tasks:read(view tasks) andtasks:write(create, edit, comment, attach). - The administrator has enabled the Tasks module in your account. If the module does not appear in the menu, ask the administrator to enable it from Settings → Modules.
- To assign tasks to another team member, that user must exist in the account with an active role.
Available views
Mosce ERP offers two views of the same set of tasks. You switch between them with the Board and List buttons in the top bar of the Tasks section.
Kanban board
Tasks appear as cards organized into columns by status. Drag a card from one column to another to change its status. Changes sync in real time for all connected users - if your colleague moves a card on their screen, yours updates without needing to reload.
The default statuses are:
| Column | Meaning |
|---|---|
| Pending | Task created, not yet started. |
| In progress | Someone is actively working on it. |
| In review | The work is ready; awaiting approval or verification. |
| Completed | Task finished. |
List view
Shows the same tasks in a filterable table with columns Title, Assignee, Priority, Due date, and Status. Useful for seeing the whole team's work at a glance or exporting a summary.
Create a task
- Open Tasks from the sidebar.
- Press the New task button (on the board you can also press + in the header of the Pending column).
- Fill in the fields:
- Title - a brief description of the task (required).
- Description - detail of the work to be done. Accepts rich text.
- Assignee - the team member the task is assigned to. You can assign it to yourself.
- Priority - Low / Normal / High / Urgent.
- Due date - when it must be finished.
- Press Create task.
The task appears immediately in the Pending column of the board. If the assignee is connected, they receive a real-time notification.
Move a task to another status
From the board: drag the card to the destination column and drop it.
From the list view: open the task and change the Status selector in the side panel.
From the card itself: open the card with a click and use the Status menu in the top bar of the detail.
Edit a task
- Click on the card's title (board) or on the row (list) to open the detail.
- Any editable field appears as an active input when you click on it: title, description, assignee, priority, due date, status.
- Changes are saved automatically when you leave the field - there is no Save button.
Add a comment
- Open the task detail.
- In the Comments section (bottom of the panel), write your message.
- To mention someone, type
@followed by the user's name. - Press Send or press Ctrl+Enter.
Comments stay in the task history and the mentioned user receives a notification.
Attach files
- In the task detail, find the Attachments section.
- Drag the file to the drop area, or press Attach file and select from your device.
- The file is linked to the task and visible to all members with access.
The accepted file types include images (PNG, JPG, WEBP), documents (PDF, XLSX, DOCX), and compressed files (ZIP). The maximum size per file is the one that corresponds to your plan.
Filter and search tasks
In both views you will find the filters:
- Assignee - see only the tasks of one team member.
- Status - filter by status (Pending, In progress, In review, Completed).
- Priority - filter by urgency level.
- Due date - filter overdue tasks, due today, or due this week.
- Search - free-text search in the task title.
The filters combine with each other. To clear them all, press Reset filters.
Delete a task
- Open the task detail.
- In the options menu (three-dot icon at the top right), choose Delete task.
- Confirm in the dialog.
Deletion is permanent and requires the tasks:write permission.
Boards for a single team
A board can be tied to a team. Once tied, only that team's members can see it, and only they can be assigned work on it. Untied, anyone with the tasks module can see it, which is how it has always behaved.
If you tie a board that already has work assigned, the system warns you before saving and tells you how many people it affects. And when you remove someone from the team, it tells you how many cards they will be unassigned from before you confirm.
One thing to be clear about: a team limits the work, not the accounting. An order or invoice that came out of a team board is still visible under Sales to anyone with that permission. Tying a board does not hide revenue.
Teams are not on the free plan. See Teams.
Billing the work: turning a task into an order
A card can carry what is going to be charged for that work, and become an order in one click, without retyping everything by hand.
Assignee is not the same as who performed the work
They are two separate fields on screen, and mixing them up is the easy mistake:
- Assignees are people with an account in the system. A task can be split among several, and you can add a whole team at once or just one of its members. This is who has to deal with it.
- Who performed the work is a free-text field, for naming someone even if they have no account. The typical case is a workshop: the mechanic never logs in, so whoever is in the office writes it down when the job sheet comes back. It takes several names and can be left empty.
What is going to be charged
On the card you add:
- Services, typed in by hand with their price.
- Products from inventory, at the price they already carry in the catalog. Next to each one you will see the available stock, as a heads-up.
The total shown on the task is indicative. The figure that counts is calculated by the order on conversion, with its taxes and its rules.
Converting
It is always manual. Nothing converts by itself. You can do it when the work is finished or while it is still in progress.
The order is created as a draft and is edited like any other: if more work turns up later, you add it there. The order says which task and which board it came from, with a link to the card, and from the task you can see the order, its invoice and its payments.
One task produces one order. From conversion on, its lines are frozen and become the historical record of what was billed: money is edited in the order from then on, which is the only place it makes sense to touch it. If more work needs billing separately, that is another task.
Why it sometimes will not convert
| What it says | Why |
|---|---|
| The task has no client | Conversion requires an explicit client, and the generic walk-in one will not do: work with a known owner billed to the generic customer leaves a receivable with nobody to chase |
| The task has no billable lines | An empty order is not an order; add at least one service or product |
| It already converted | One task produces one order. Continue in the order that already exists |
| The warehouse could not be resolved | Some product line has to move stock and there is no warehouse to take it from. See A warehouse is required to sell |
How many boards and lists you can have
Boards depend on your plan, and the free plan does not include tasks. The screen always tells you how many of how many you are using, and once you reach the cap the create button is disabled stating why, rather than failing on save. See Usage limits.
Each board holds up to 10 lists, and that cap is the same on every plan. Lists are the states a task moves through, not a filing cabinet: ten cover any workflow and keep a board readable.
Tasks have no cap. They load in batches as you scroll within each list, so a list with hundreds of tasks opens as fast as one with three.
Mind the difference: the list cap is per board; the board cap is per account.
What you lose when you delete
Deleting a list takes all of its tasks with it, and deleting a board takes all of its lists. The warning beforehand is not generic: it names exactly what is at stake.
Deleting a task does not delete its order or its invoice. Be clear on this, because it is the most misread part: you are not voiding a sale. If any task already produced an order, the warning names those orders and tells you they will stop showing which work they came from. The order is still there, with its invoice and its payments; what it loses is the trail backwards.
The record of who performed the work does genuinely disappear, which is why it is warned about separately. The order and the invoice survive the deletion, but the name of whoever did the work is not stored anywhere else: it is the one piece of data that is lost for good. That is why it is not folded into the "and all its tasks", but gets its own warning.
Expected result
- Board updated in real time with the tasks organized in columns.
- Instant notifications to the assignee when a task is assigned or commented on.
- History of comments and attachments associated with each task.
- Filters that help you focus on what is urgent without losing the general context.

Frequently asked questions
Can I create custom columns in addition to the four defaults?
For now the status columns are fixed at four levels. Column customization is on the module's roadmap.
Are tasks limited by plan?
The availability of the full module is limited to paid plans. See the current limits on the Pricing page.
Are comments visible to all members?
Yes, to all users with the tasks:read permission in the account. There are no private comments.
Can I relate a task to an order, invoice, or client?
Not yet - tasks are an independent module in this version. Linking with other modules is planned for future versions.
What happens if a task's assignee leaves the company?
The task is left without an active assignee. From the list view you can reassign it to another member. Edit the task and change the Assignee field.
